What to Look for in a Custom Fabrication Partner in the Twin Cities

FINDING THE RIGHT BUILD PARTNER IN YOUR BACKYARD

 

If you're a marketing manager, architect, agency creative director, or brand team lead working in the Twin Cities, you've probably faced this at least once: a project that needs to be physically built, and a short list of fabrication studios you're not totally sure about.

Maybe it's a trade show booth heading to a national show. A museum exhibit for a Minnesota institution. A branded environment for a corporate lobby in Minneapolis. Or, a pediatric sensory room at a Twin Cities health system. Whatever the scope, finding the right fabrication partner in Minnesota takes more than a Google search and a quote request. It takes knowing what to evaluate and which questions tend to expose gaps before a project is already underway.

After more than 40 years of building things out of our Roseville shop (for clients like the Bell Museum, the Minnesota Twins, and brands across the Twin Cities metro), we've heard from a lot of clients about what made previous partnerships work, and what didn't. The surprises that burned them weren't usually about quality. They were about things nobody asked about upfront.

This is our honest take on what to look for as a Minnesota client seeking fabrication work.

 

1. Do They Build In-House, or Are They Brokering the Work?

This question is an important first one to ask, as the answer ultimately changes everything downstream.

Most fabrication shops use subcontractors for some things (think specialty finishes, electrical, rigging), and that's normal and often smart. The real question is how much of the core work happens in-house versus how much gets brokered out entirely.

A shop that farms out the majority of fabrication to a network of vendors introduces variables that are harder to control: timeline dependencies, quality inconsistencies between subs, markups on markups, and a project manager who may not have firsthand knowledge of how your build is actually coming together. That's a different situation than a shop with a genuine in-house operation that occasionally pulls in a specialist.

A strong in-house fabrication studio keeps design, build, finishing, and installation under one roof. That means your project manager has actually walked the shop floor that morning. Problems get caught before they become expensive. The person you call with a question isn't relaying your concern to someone else.

The question to ask: "What gets built in your shop, what gets subcontracted, and to whom?" A confident shop will answer that without hesitation.

2. Does Their Portfolio Show Real Installations? (Not Just Renderings)

A shop's portfolio is your most reliable window into what they'll actually deliver, but only if you're looking at the right things.

Renderings and 3D mock-ups are easy to produce and easy to make look great. What you want to see are photos of finished, installed work: the real booth on the actual show floor, the exhibit inside the actual museum, the branded wall in the actual lobby. Finished results always differ from renders. A shop that can only show you concept imagery hasn't yet proven they can execute.

The photos are just the start. Look for named clients or recognizable institutions (and not anonymous "brand activation" shots that could be anyone's work.) Check whether their project types actually match yours. A shop that does excellent scenic work may be completely out of its depth on a trade show build that needs to pack down and reassemble in four hours. And ask for case studies or write-ups that explain the problem, the process, and the outcome. Pretty end-result photos are easy. Documented process is harder to fake.

If they hesitate to share references or walk you through a specific project in detail, that's worth noticing.

3. What Does "Turnkey" Actually Include?

The word "turnkey" gets used a lot in fabrication. Before assuming it means what you think it means, ask for specifics.

The strongest fabrication partners can genuinely operate across the full project chain: concept development or design execution, shop drawings, material sourcing, fabrication, finishing, delivery, on-site installation, strike, and (critically) storage between uses. That last one catches a lot of clients off guard. If you're building a trade show booth or an asset you plan to reuse, where does it live between events? Who inventories it, packs it for shipping, and ensures it arrives to the next show intact?

Storage is a real operational capability that deserves its own conversation. A local partner with secure, managed storage you can actually visit is a very different situation than paying for a warehouse across the country you've never seen.

Also ask: What's included in your quote, and what gets billed separately? Transparent partners will walk you through a detailed estimate covering design, materials & labor, freight, installation, and any after-show services. Vague pricing up front is one of the most consistent warning signs buyers in this space report. Hidden costs for freight, labor, and installation have a way of showing up on the back end of projects that started with an appealing quote.

It happens more than you'd think. A quote comes in looking reasonable, and by the time freight, labor, installation, and post-show storage get added on the back end, the number has doubled. We've heard versions of that story from clients who came to us after working with someone else. It's not a fun conversation to have, and can often be an entirely avoidable one with the right communications upfront.

4. Do They Know Minnesota? Venues, Permitting, and All?

This is where out-of-state fabricators tend to struggle, and where a genuinely local Twin Cities partner earns its keep.

Minnesota has its own network of venues, institutions, contractors, and permitting requirements. The Minneapolis Convention Center has its own logistics and labor considerations. The Science Museum of MN, the Minnesota State Fair, and Target Field each have site-specific requirements that an experienced local shop already knows how to navigate. An out-of-state vendor who's never worked a build in this market is learning on your dime.

Local proximity also creates practical advantages that matter at every stage: site visits before fabrication begins, in-person reviews during production, faster turnaround on revisions, and someone who can actually show up during install if something needs solving. Managing a build crisis over the phone from 1,200 miles away is a different experience than having your fabricator walk through the door.

Before assuming a shop is truly local, verify their actual facility location. Some companies market regionally without a corresponding physical presence. If a partner's shop is in another state, factor in freight costs, communication lag, and the reality that a mid-build walk-through simply won't happen.


5. How Do They Handle Things When Something Goes Wrong?

Any fabrication partner can tell you how a project goes when everything works. What you actually need to know is what they do when it doesn't. Materials behave unexpectedly. Dimensions from architectural drawings don't always match field conditions. A client revision in week three can cascade into a rebuild in week five.

Ask directly: "Tell me about a project that didn't go as planned. What happened, and how did you handle it?" How readily they give that answer is more revealing than anything in their portfolio. Also ask about their communication process during production. Do they provide schedules with milestones? Build-phase photos? A dedicated point of contact throughout? A shop that keeps clients informed during the build and not just at delivery has its process figured out.

The best fabrication partners get ahead of problems rather than waiting to be asked about them. When something shifts, they call you. They come with a plan, not an apology.

6. Are They Asking the Right Questions Before They Quote?

Here's a simple signal that separates experienced fabrication partners from everyone else: do they ask questions before giving you a number?

A corporate marketing manager and a museum exhibit designer are both looking for excellent fabrication, but the details that matter to each of them are very different. One needs a build that looks immaculate at a trade show for three days, packs down fast, and ships clean. The other needs something that survives tens of thousands of visitors over a decade without showing its age.

The right fabrication partner asks: Where will this live? How long does it need to last? Who will interact with it, and how often? Does it need to travel? Will it be reassembled by your crew or ours? Those questions shape material selection, finish durability, structural engineering, and packing strategy. They're not delays in the process. They're the process.

If a shop sends you a quote before asking any of them, take that seriously.

 

Not every fabrication studio is right for every project, but there are clear markers of a partner worth trusting: in-house capability, real installation photography, honest pricing, honest communication when things get hard, and deep enough roots in the Minnesota market to know its venues, its quirks, and its people.
